The Division of Academic Affairs seeks an experienced, well-organized, and results-oriented professional to serve as a special assistant to the Provost, the College's chief academic officer. The individual in this position will work closely with and under the supervision of the Provost to manage the administrative, operational, financial affairs, and special projects of the department of Academic Affairs. The individual will serve in a crucial role in the Office of Academic Affairs and will be a key partner to the Provost in ensuring positive partnerships with the campus community and beyond.
Responsibilities:
The Special Assistant to the Provost will work with a high degree of independence, decision-making and initiative. The responsibilities will require a person with a strong work ethic, a keen sense of the importance of confidentiality and discretion, sound judgment necessary to make critical administrative and procedural decisions, and a dedication to detail and timely completion of work.
Specific areas of responsibility will be:
--serve as the primary staff liaison to the Provost; Manage her communications, meeting schedules, meeting documentation and follow up, and other planning and organizational tasks as needed.
--decision support duties including fact-finding, research and analysis, preparation of position papers, reports, and presentations.
--management of projects and work plans, including management of staff assigned to the projects.
--preparation of internal and external correspondence, executive summaries, and talking points for the Provost.
--drafting, revision, and maintenance of a variety of contracts and MOUs for new faculty and staff and for various external institutions and organizations.
--support of the Provost's work on strategic planning and implementation, faculty recruitment and retention, and budget management using analytical, technological, and visualization tools as appropriate.
-representation of the Provost to various constituencies, acting as liaison for departmental or unit leadership with internal and external groups, offices, and constituents.
-management of the Provost's calendar to ensure that the needs of individuals and groups who request time with the Provost are balanced against the priorities of major projects, proposals, and strategic initiatives for which the Provost is responsible.
-other duties as assigned.
Minimum Requirements:
- Bachelor's degree with at least seven years of relevant experience.
- Strong writing and communication skills.
- Demonstrated ability to use the software (particularly Microsoft Office Suite) and enterprise solutions (experience with Workday and Jenzabar a plus) necessary to perform highly professional tasks.
Preferred:
- Master's degree with at least five years of relevant experience.
- Project and budget management experience.
- Experience in a fast-paced environment with senior-level professionals.
- Experience in higher education or a related setting.
Physical Demands:
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.
