Administrative Assistant II

University of Tennessee Extension - Soil, Plant & Pest Center

Duties/Responsibilities:

The UT Soil, Plant, & Pest Center Administrative Assistant II is directly responsible to the Laboratory Director. This is a 40 hour per week, in person position. This position is in the front office of the Soil, Plant & Pest Center which process soil, forages, plants, and insects from around the state.

Duties include:

· Provides front-line customer service, greets visitors, answers phones, and responds to email inquiries.

· Picking up phone calls, return missed calls, listening to voice-mails.

· Answering basic questions about the lab, helping people with sample submission, payment, or getting results. Directing technical questions to appropriate person.

· Greeting walk-in clients appropriately. Guiding them through the submission process. Taking payment or billing information.

· Collects payments by cash, check, or credit card. If a sample is billed or paid online, verifies billing or online payment information.

· Enter submission sheet information into the lab information management software, reviews samples for accuracy and completeness of payment information to be audit compliant. Reviews samples for accuracy and completeness of sample information so the correct results are paired with the correct data, and the results will be mailed and emailed to the correct address.

· Upload and enter result data into the lab information management software or other software.

· Send final lab reports out by mail or email. While folding reports to be mailed, reviews information on the sheet to ensure completeness.

· Ensure outstanding unreported samples are addressed.

· Keep a neat, and organized office.

· Have a working knowledge of Extension procedures and stay updated on all Extension Policy and Procedures and other resources.

· Assume other duties as assigned.

Minimum/Required Qualifications (include education, experience, skills & abilities, licenses & certifications):

· Must have a high school diploma, or equivalent.

· One to three years of office experience.

· Prior experience with Extension or working with the public.

· Skills and Abilities: Superior communication skills (written & verbal) and organizational skills, ability to work with the public, be a team player, and a self-starter.

· Ability to multi task and maintain the office when all other staff may be at Extension events.

· Proficient in Microsoft Office (Word, Excel, Outlook).

· Must have a valid driver’s license.

· Must be reliable and punctual.

Preferred/Desired Qualifications:

· Additional education beyond high school diploma preferred.

· Certified Administrative Professional certification is desired.

· Superior customer service skills with strong verbal and communication skills.
