Position Summary:

The Admission Operations Manager supports the Office of Enrollment Management Operations team by developing and executing the admission letter process within the Office of Undergraduate Admission.

Responsibilities:

  • Manage and execute the Undergraduate Admission letter process, including decision letters, status letters, and marketing letters.

  • In conjunction with the Communications team, this position must test, confirm, and execute all Undergraduate Admission letters in the Slate CRM and make updates, as necessary.

  • Develop and execute audits so that students and staff may perform quality assurance checks and notify team members of errors/changes promptly.

  • Print and archive all Undergraduate Admission letters in compliance with federal and state record retention policies.

  • Generate weekly reports to track Undergraduate Admission letter status.

  • Track inventory levels and place orders for decision letter materials to ensure a continuous flow of letter processing.

  • Manage the responses for the prospective student email address and maintain a current FAQ document for the team to reference when responding to emails.

  • Interview, hire, and train student workers within the Office of Undergraduate Admission.

  • Supervise student workers who provide administrative and technical support for the admission staff.

  • Create a safe, skill building training environment.

  • Support the Office of Admission at events, including occasional evening and weekend events.

  • Engage in other administrative duties as assigned.


Work Schedule:

Monday-Thursday: 8:30am - 4:30pm, and Fridays: 8:30am - 3pm, including occasional evening and weekend hours.

Qualifications:

  • 1-3 years of office/clerical experience, preferably in a College/University admissions office.

  • Bachelor's degree, or 3-5 years of working experience in an admissions office.

  • At least one year in a related function is preferred.

  • Prior experience executing large mailings on a regular basis using the Mail Merge function is preferred.

  • Evidence of effective verbal and written communication skills.

  • Ability to manage and confirm responses to requests for information from prospective students.

  • Experience working in an environment subject to quickly changing priorities.

  • Proficiency using Slate/Technolutions or another CRM database; Knowledge of Ellucian databases and/or the ability to manage data within an enterprise database is preferred.

  • Proficient user of Word, Excel, and Access.

  • Must be able to write basic queries. The ability to write and understand SQL statements is a plus!

  • Demonstrated experience managing student workers or staff is preferred.

  • Must be capable of bending, reaching, lifting, pushing, and pulling up to 15 pounds.


In compliance with NYC's Pay Transparency Act, the annual salary for this position is $62,400. This position may be relocated to any of St. John's University's physical locations at any time.
