Location: Cleveland, OH
The Executive Assistant will provide professional support and value-added services to the Brokerage team and the President. Responsibilities include office management & workflow, communication with outside representatives, preparing business reports and presentations, schedule and coordinate meetings. Oversight and management of support staff. Provide general administrative support as needed.
Job Responsbiltiies:

Provides high-level administrative support to the President. Maintains smooth operations during frequent travels and assures communication between staff members and outside representatives.

Performs complex and confidential administrative functions including developing, compiling and preparing various business reports, memos and letters. As well as format reports and presentations resulting in error free documents.

Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting or marketing processes.

Maintain office information and records.

Coordinate internal and external meetings; prepare agenda, communicate details, and attend meetings as required to record and distribute minutes.
- Complete expense reports and credit card reports.
- Support company operations by maintaining office systems.

Supervise support staff including selecting, orienting, and training employees as well as scheduling and coordinating staffing needs.

Additional responsibilities and projects as assigned.
Qualifications:
- Proficient with technology - Microsoft Word, Excel, Power Point and CRM database.
- Advanced knowledge of Microsoft Office especially Excel and Power Point is strongly preferred.
- Analytical, proactive problem-solving skills - Techniques to identify and resolve issues in a timely manner, gathers and analyzes information skillfully.
- Requires knowledge of financial terms and principles - Ability to calculate intermediate figures such as percentages, discounts, and/or Conducts basic financial analysis.
- Team oriented - Positive and professional, able to show consideration for and maintain positive working relations with co-workers while remaining open to others’ ideas and exhibits willingness to try new things.
- Strong communication skills; both written and verbal with demonstrated creativity with regard to work. Excellent spelling, grammar as well as good phone skills.
- Exceptional organizational skills - Using systematic methods to perform work and creativity to recommend or create new work methods or procedures.
- Ability to multi task - Able to complete projects and responsibilities according to required timelines and dealines.
- Self-motivated – Positive Self-starter with ability to prioritize make appropriate decisions.
Experience:
- Bachelor's Degree (BA/BS) or equivalent from four year college or university
- Executive Assistant: 2 or more years (Preferred)
