Summary Position
This position provides executive support to the Senior Vice President for University Advancement and External Affairs and Associate Vice President for University Advancement at Elon University. The executive assistant coordinates all activities of the office of the Senior Vice President by maintaining a high awareness of all key activities within the division. The executive assistant is an excellent communicator, has a broad understanding of fundraising, has an ability to work independently, works under pressure at times, and maintains a high degree of confidentiality.

General Purpose of Position
The executive assistant serves as assistant to the Senior Vice President for University Advancement and External Relations and the Associate Vice President for University Advancement. The executive assistant coordinates all activities of the Office of the Senior Vice President by maintaining a high awareness of all key activities within the Division of University Advancement. The executive assistant is an excellent communicator, has a broad understanding of fundraising and its role within a university setting, has the ability to work independently, works under pressure at times, meets deadlines, and maintains a high degree of confidentiality.
Essential Duties and Responsibilities
1. Assists the Senior Vice President in conducting day-to-day operations of the University Advancement Division, including preparation for meetings, multi-media presentations, scheduling and organizing meetings and events, entering data and executing reports in constituent database (Raiser’s Edge NXT.)
2. Maintains the Senior Vice President’s and Associate Vice President’s calendar of appointments.
3. Assists the Senior Vice President with the Board of Trustees Advancement Committee and Alumni Committees, including helping to gather preparatory materials, arranging meeting times and locations, taking and transcribing meeting minutes.
4. Coordinates University Advancement efforts to prepare accurate and timely briefing materials for the President, Senior Vice President, members of Senior Staff, Deans, and other key university leaders in support of University Advancement events.
5. Coordinates and prepares travel arrangements and information, including detailed agendas and often complex agendas, confidential donor profiles, lists of event attendees, event details, and follow-up actions as appropriate.
6. Serves as a key liaison with the staff of the Office the President on all details related to the President’s preparation for advancement activities.
7. Drafts and proof-reads executive level correspondence prepared for Presidential, Senior Vice Presidential, or Associate Vice Presidential signatures. Assists in the process of documenting donors’ philanthropic commitments to Elon.
8. Tracks and reports monthly budget-related activities for the Senior Vice President.
9. Maintains the University Advancement organization chart.
10. Maintains University Advancement list-serves and shared drive access.
11. Maintains and updates subscriptions and key renewals for University Advancement.
Other duties as assigned.
Education and Experience
