Position Summary
Full-time position available on or after June 10, 2024 for University Police.

Under general supervision of the Police Captain or Lieutenant, the incumbent is responsible for front counter customer service and support for daily University Police operations which include Parking Management Bureau (PMB), Live Scan and Parking operations. Incumbents assigned to this classification may be required to use a variety of office support technology and systems including: one or more word processing and spreadsheet packages; use of a mainframe computer to enter data and generate reports; maintenance of a workstation or PC-based database; and use of electronic and voice mail. Incumbents in this classification tend to support a function or department but may support a particular person(s).

Job Duties
Duties include but are not limited to:
  • Respond to inquiries regarding parking citations and parking permits.
  • Review, update, and revise procedures and processes for customer relations and PMB systems.
  • Maintain confidentiality when dealing with information about ticket recipients and permit customers.
  • Stay abreast of California vehicle code updates regarding parking tickets.
  • Process, screen, and file daily parking citation and permit payments.
  • Data entry of parking citations and permit into PMB systems.
  • Assist lead staff with the implementation of setup processes for new PMB agencies.
  • Arrange schedules, set up meetings for travel arrangements, and act as administrative support backup as needed.
  • Compile documents, report statistics as necessary for agencies, and manage logistics, including acquiring supplies and equipment.
  • Provide general support and assistance to UPD operations, including non-emergency radio communications.
  • Assist with a full range of moderate to complex clerical and secretarial work assignments, projects of moderate scope and complexity, and planning and coordinating clerical work activities.
  • Provide lead work direction and/or training and assistance to others in work processes and procedures.
  • Assist with troubleshooting and identifying issues with PMB systems.
  • Track, maintain, and monitor PMB equipment.
  • Assist with assessing, formulating, and evaluating technological improvements for PMB in collaboration with Technical Support personnel.
  • May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.
  • The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this classification.
  • At the direction of appropriate administrator, may provide support to other departments within functional area as needed.
  • Other duties as assigned.

    Minimum Qualifications
    Education: Completion of a high school program or its equivalent.
    Experience: Some experience in an office environment.

    Preferred Qualifications

  • Two (2) year of office experience providing support via phone, email, web-based and in person.
  • Bilingual proficiency in Spanish (speaking and writing).
  • Experience in higher education or educational settings, including working with students.
  • Experience with Department of Justice fingerprinting requirements, live scan, inked fingerprinting or related procedures.
  • Experience providing lead work direction to others.
  • Experience in cash handling and related procedures.
  • Experience working within law enforcement agencies.
  • Experience in MS Office and other relevant software (Concur, PeopleSoft, Adobe Suite, File Maker, etc.).

    Knowledge, Skills, Abilities

  • Experience to be proficient in performing most or all work assignments.
  • General working knowledge of applicable university infrastructure, policies, and procedures
  • Thorough knowledge of office methods, procedures, and practices.
  • Ability to use standard office equipment. Typing and keyboard skills.
  • Fluency in using standard word processing and related computer software packages.
  • Ability to identify and solve standard problems and refer more complex problems to appropriate staff.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
  • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.

    Special Conditions

  • Ability to work a flexible schedule (after hours, evenings and or weekends), including campus event as needed.
  • Bilingual proficiency in Spanish (speaking and writing).

    Salary Range
    Anticipated salary will be $3,505 - $3,856 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Administrative Support Assistant II range: $3,505 - $5,159 per month)
